Your account is created by your system administrator and you will receive a welcome email from noreply@commscircle.co.uk with your extension number and a temporary password.
Open the Circle Voice desktop app (GloCOM Next), enter your company's PBXware server address, your extension, and that temporary password. You will be prompted to set a new password on first sign-in.

A stable internet connection of at least 1 Mbps per active call is recommended. A wired connection or 5 GHz Wi-Fi is preferred for best voice quality.
Yes. Your Circle Voice account works across desktop (Windows and macOS), iOS and Android simultaneously. All devices ring at the same time when you receive a call, and you can pick up on whichever is most convenient.
Call history, contacts and voicemails are synced in real time across all signed-in devices.
Contact your Circle Voice administrator or reach Comms Circle support at support@commscircle.co.uk. Administrators can reset passwords from the PBXware admin portal. Self-service password reset is available if your administrator has enabled the user portal.
Installing and configuring GloCOM Next
The latest stable release (v8.0.2) is available on the Downloads page. Available installers:

If macOS shows "cannot be opened because it is from an unidentified developer", right-click (or Control-click) the app icon and choose Open. Click Open again in the dialog that appears. You only need to do this once.
On macOS 13 and later you can also go to System Settings > Privacy & Security and click Open Anyway next to the blocked app entry.
On first launch, you will be asked for your PBXware server address. Enter the server hostname provided by Comms Circle (for example: sip.circlevoice.co.uk). Then enter your extension number and password.
If you see a certificate warning, click Accept to proceed. Your IT administrator can import the CA certificate to suppress this permanently.
Connecting your CRM
Circle Voice integrates natively with HubSpot, Salesforce, Zoho CRM, Pipedrive, and Microsoft Dynamics 365. Calls are logged automatically as activities against the matching contact or deal record.
Custom integrations via API or Zapier are also supported. Contact support for details.
Check the following in order:
- Confirm the CRM integration is enabled for your extension in the admin portal
- Ensure the caller's phone number is saved in HubSpot with the country code (e.g. +44 7700 900000)
- Check that the HubSpot connection token has not expired — re-authorise from Settings > Integrations
- Allow up to 2 minutes for the activity to appear after a call ends
Yes. When an inbound call arrives, Circle Voice matches the caller's number against your CRM and displays a screen-pop with the contact's name, company and a direct link to their record. This works for HubSpot, Salesforce and Zoho.
Call recordings and transcripts
Recordings are available in the Call History tab within the Circle Voice desktop app. Click any call entry to expand it, then click the play icon to listen. You can also download the recording as an MP3.
Administrators can access all company recordings from the PBXware admin portal under Reports > Call Recordings.
By default, recordings are retained for 90 days. Your administrator can extend this to 1 year or configure automatic archiving to an S3-compatible storage bucket. Transcripts are stored independently and have no automatic expiry unless configured.
Circle Voice uses a dedicated speech-to-text engine tuned for UK English business calls, delivering accuracy above 95% on clear audio. Transcripts include speaker labels, timestamps and an auto-generated call summary.
Accuracy can be affected by background noise, strong accents or very technical jargon. Custom vocabulary lists can be submitted to Comms Circle to improve accuracy for industry-specific terms.
